Bookkeeper CV Examples & Writing Guide

A bookkeeper CV gets an interview when it shows the software you run the books in (Xero, QuickBooks Online, Sage, NetSuite), the scope you handled (full books to trial balance or one ledger, how many companies, transactions and employees), how fast and clean your month-end is, and proof you can be trusted with money: reconciliations, clean year-end reviews, errors caught. Below is a full sample plus bullets, skills, personal statements and an entry-level version.

Bookkeeper CV example

This sample is for a senior bookkeeper with about eight years in accounts roles: purchase ledger clerk at a construction company, bookkeeper at a small accountancy practice serving 30 clients, now running the full books for a restaurant group. The name, employers and college are made up. Keep the structure and replace the software, volumes and month-end dates with your own.

Senior Bookkeeper · Full Books to Trial Balance

Manchester · 07700 900139 · renee.okafor@email.com · linkedin.com/in/reneeokafor

Summary

Senior bookkeeper with 8 years in accounts, the last 3 running the full books to trial balance for a 4-site restaurant group (£7m turnover, 140 staff). Closes the month by working day 5 in Xero, runs fortnightly payroll in BrightPay, reconciles 11 bank and card accounts and files quarterly VAT returns under Making Tax Digital. AAT qualified (MAAT), QuickBooks Online ProAdvisor and Xero certified. Two clean year-end reviews by the external accountants, with no adjustments, in 2024 and 2025.

Experience

Senior Bookkeeper · Restaurant group, 4 sites (£7m annual turnover, 140 staff), Manchester

Jun 2023 – Present

  • Own the nominal ledger for 4 companies in Xero: about 1,800 transactions a month coded, 11 bank and card accounts reconciled and books closed by working day 5, down from day 12 when I started.
  • Run fortnightly payroll for 140 hourly and salaried staff in BrightPay, including tronc, attachment of earnings orders and pension auto-enrolment, with every RTI submission made on or before payday.
  • Manage a purchase ledger of £420k a month (about 300 supplier invoices) through Dext and Xero, taking £900–1,100 a month in early settlement discounts, with no duplicate payments since three-way matching was added.
  • Prepare and file quarterly VAT returns for the 4 companies under Making Tax Digital; no penalties or HMRC notices in 3 years.
  • Deliver a monthly P&L by site with prime cost (food, drink and labour) by the 7th; the owners used it to cut food cost from 33% to 30.5% in 2025.

Bookkeeper · Small accountancy practice, client bookkeeping team (30 small-business clients), Stockport

Mar 2020 – May 2023

  • Kept the books for 14 clients at a time (builders, dental practices, online sellers) in QuickBooks Online and Xero, about 2,500 transactions a month in total, with a 5-working-day month-end for every client.
  • Caught up 9 sets of books that were 6–18 months behind, including a £170k unreconciled suspense account, and brought all 9 up to date in time for their year-end accounts and tax deadlines.
  • Set up Dext receipt capture and bank rules that cut client coding time by about 30%, letting the team take on 6 more clients without a new hire.
  • Ran payroll in BrightPay and Xero Payroll for 9 clients (about 120 employees in total), including furlough claims in 2020–21, with every RTI submission and pension upload on time.

Purchase Ledger Clerk · Commercial construction contractor (£32m turnover), Salford

Aug 2018 – Feb 2020

  • Entered and coded 150–200 supplier and subcontractor invoices a week in COINS against purchase orders and job cost codes, with 99.6% coding accuracy in internal checks.
  • Ran the weekly BACS payment run of £480k–720k and reconciled supplier statements monthly, recovering £14,700 in duplicate payments and overpayments in the first year.
  • Verified 80+ subcontractors with HMRC under the Construction Industry Scheme and tracked their insurance certificates, so no payment went out without the right CIS deduction and current paperwork.

Each job names the software, the volume (transactions, invoices, employees, companies) and a result the owner or accountant would care about (month-end date, clean review, money recovered). That is the whole formula. If you do not know your volumes, your software's transaction reports will tell you in five minutes.

What a hiring manager checks first on a bookkeeper CV

Bookkeepers are hired by small-business owners, finance managers and accountancy practice managers. All three read the CV the same way: they are trying to find out whether you can take the books off their desk without creating a mess. Four things decide it.

  • Software match. If they run Xero and you list only Sage 50, that is a question mark; if you list neither, it is a no. Name the exact product and version, and the add-ons (Dext, Hubdoc, ApprovalMax, BrightPay).
  • Scope. Full books to trial balance, or one part of the cycle (purchase ledger, sales ledger, payroll)? How many companies, transactions a month, employees on payroll, bank accounts? Numbers here stop the guessing.
  • Month-end and accuracy. How many working days to close the month, whether the year-end went through the accountants without adjustments, what you caught (duplicate payments, unreconciled accounts, fraud).
  • Trust. Bookkeepers handle cash and bank access. Long tenures, references from owners or accountants, a qualification with a code of ethics (AAT, ICB or IAB), and a clean basic DBS or credit check where the employer asks for one matter more than in most office jobs.

“I look for three things in ten seconds: the software, the size of the books they ran, and a month-end date. If a bookkeeper tells me they close by the fifth and their accountant had no adjustments, I stop reading and call them.”

Bookkeeper job responsibilities for a CV: bullet points you can copy

One bullet per part of the cycle you own, each with a volume and, where you can, a result. Below are bullets by area. Change the numbers to yours. A smaller true number is worth more than a big vague claim.

Nominal ledger and month-end
Coded about 1,200 transactions a month across 3 companies in QuickBooks Online, posted accruals and prepayments, and closed the books by working day 6 for 24 months running.
Bank reconciliations
Reconciled 9 bank, credit card and merchant accounts monthly to the penny and cleared a 14-month backlog of unreconciled items (£70k) in my first quarter.
Purchase ledger
Processed 250 supplier invoices a month through Dext and Xero with three-way matching, ran weekly BACS payment runs of £240k and took £700 a month in early settlement discounts.
Sales ledger and credit control
Invoiced 180 customers a month, allocated receipts daily and cut debtor days from 52 to 36 by adding a 7-day reminder and a monthly statement run.
Payroll
Ran monthly payroll for 65 employees in Sage Payroll, reconciled payroll to the nominal ledger and made every RTI submission, PAYE payment and pension upload on time for 4 years.
VAT and CIS
Prepared and submitted quarterly VAT returns for 3 companies under Making Tax Digital, and filed monthly CIS returns for 52 subcontractors by the 19th each month with zero corrections.
Reporting
Delivered a monthly pack (P&L, balance sheet, cash flow, budget vs actual by department) to the owner by the 8th, plus a weekly cash forecast in Excel.
Catch-up and clean-up
Rebuilt 2 years of books for a £2.4m e-commerce client from bank feeds and Shopify payouts, reconciled the VAT and delivered year-end-ready records 3 weeks before the accounts deadline.
Year-end and working with the accountant
Prepared the year-end pack (trial balance, fixed asset schedule, loan reconciliations, accruals and prepayments listings) for the external accountants; the 2025 accounts were finalised with 1 adjusting journal.
Do not write "responsible for all aspects of bookkeeping." Owners and finance managers hear "I cannot tell you what I did." Break it into the pieces above with a number on each.

Bookkeeper CV skills, including how to write Xero and QuickBooks experience

List 10 to 14 skills. Lead with the accounting cycle tasks, then software by exact product name, then Excel, then the few soft skills that matter in this job. Recruiters and applicant tracking systems both search for the software names, so spell them the way the vendor does.

Accounting skills:

  • Full bookkeeping to trial balance, month-end and year-end, journals and accruals
  • Bank, credit card and merchant account reconciliations
  • Purchase ledger (supplier set-up, bank detail checks, three-way matching, payment runs) and sales ledger (invoicing, cash allocation, credit control)
  • Payroll processing, RTI submissions, pension auto-enrolment, statutory sick and maternity pay, tronc and commission
  • VAT returns under Making Tax Digital, CIS returns and the domestic reverse charge

Software (name the exact product; "accounts software" alone is not enough):

  • Xero or QuickBooks Online (name the plan you used) or QuickBooks Desktop, and whether you are Xero Advisor certified or a QuickBooks ProAdvisor
  • Sage 50 Accounts, Sage 200, Sage Intacct, FreeAgent, NetSuite, Zoho Books, COINS for construction
  • Add-ons: Dext, Hubdoc, ApprovalMax, Expensify, Pleo, A2X, Shopify and Stripe payouts
  • Payroll: BrightPay, Sage Payroll, Xero Payroll, QuickBooks Payroll, IRIS Payroll, Moneysoft

How to write Xero or QuickBooks experience so it means something: pair the product with a volume and a task. "Xero: 4 companies, 1,800 transactions a month, tracking categories by site, custom P&L reports" tells a hiring manager exactly what you can do on day one. Add the Xero Advisor or QuickBooks ProAdvisor certification if you have it; both are online courses you can finish in a weekend or two.

Bookkeeper personal statement examples

Three or four lines: your scope and years, the software, one or two numbers (companies, transactions, employees, month-end date) and your qualification. A career objective is only for a first accounts job; everyone else should use a personal statement.

Qualifications and education: what counts for a bookkeeper

There is no licence for bookkeepers in the UK. Anyone can call themselves one, which is exactly why a qualification helps: it tells an owner you passed assessments and follow a professional code of ethics. A degree is helpful but not required; many excellent bookkeepers have GCSEs and ten years of clean books.

  • AAT (Association of Accounting Technicians): Level 2 Certificate in Bookkeeping or Accounting, Level 3 Diploma in Accounting and Level 4 Diploma in Professional Accounting; full members use MAAT. The best-known route for bookkeepers and accounts assistants.
  • ICB (Institute of Certified Bookkeepers) and IAB (International Association of Bookkeepers): bookkeeping and payroll qualifications from Level 1 upwards, with membership letters after your name. Well known, especially among self-employed bookkeepers.
  • Xero Advisor certification and QuickBooks Online ProAdvisor (Core and Advanced): online, and the ones most small-business owners ask about. QuickBooks recertifies yearly, so put the year on the CV. Add Sage training if your target employer uses Sage.
  • Self-employed bookkeepers and bookkeeping practices: if you keep books for clients as a business, you need anti-money-laundering supervision, through a professional body such as AAT or ICB or through HMRC. Say who supervises you.
  • Education: AAT at a further education college, a training provider or through an accounts apprenticeship is the common route; a degree in accounting or business is a plus for roles heading towards management accounts. List GCSE English and maths if you are entry level.

Job titles vary: UK adverts post much the same job as bookkeeper, accounts assistant, purchase ledger clerk or accounts administrator. Use the advert's title in your header. Applying in the US, the document is a resume and the usual credentials are the AIPB and NACPB bookkeeping certifications. Everything else on this page still applies.

Entry-level bookkeeper and accounts assistant CV with no experience

Most first bookkeeping jobs are titled accounts assistant, purchase ledger clerk, sales ledger clerk, junior bookkeeper or accounts apprentice, and they go to people who can prove three things: they know debits from credits, they have used real software, and they are careful. You can show all three without a job in the field.

  1. 1Get the QuickBooks Online ProAdvisor certification (free, about 10–15 hours) or start the AAT Level 2 Certificate in Bookkeeping, and put it in your header line. It answers the software question before anyone asks.
  2. 2Put a title under your name: "Accounts Assistant" or "Junior Bookkeeper", plus "QuickBooks Online ProAdvisor" or "AAT Level 2".
  3. 3Write a two-line career objective with your AAT level or course, the software you have used and when you can start.
  4. 4Pull the money work out of any job you have had: cashing up, banking, invoicing customers, paying suppliers, expense claims, stock counts, spreadsheets you built. Give each a number (tills, invoices a week, takings banked).
  5. 5Add course projects and volunteer treasurer work as experience: "Treasurer, sports club: kept the ledger for £11k a year in subs and events in Excel, presented monthly statements."
  6. 6Keep it to one page and send it as a PDF. Apply to accountancy practices' bookkeeping teams and to small businesses with 10–50 employees; both train junior people, and many offer AAT apprenticeships.
Bullet from a retail or hospitality job
Cashed up 4 tills and prepared the daily banking for a shop taking £12k a day, with no unexplained differences in 18 months.
Bullet from an office or admin job
Entered 60–80 supplier invoices a week into Sage 50, matched them to purchase orders and prepared the weekly BACS payment run for the owner to approve.
Bullet from a placement or course project
Bookkeeping placement, accountancy practice (Jan – Apr 2026): coded 400 transactions a month for 3 small-business clients in Xero, reconciled 3 bank accounts and prepared VAT working papers for the tax team.

Format, length and keywords for a bookkeeper CV

  • One to two pages. One page suits most bookkeepers under 10 years; two pages is fine for senior bookkeepers with 15+ years or multi-company work. Never three.
  • Order: header with title and qualification, personal statement, skills (software named exactly), experience, qualifications, education. Software high on the page, because that is the first filter.
  • A clean single-column layout like the cvplex modern-blue or ats-classic template. Accountancy practices and mid-size companies run CVs through applicant tracking systems; a two-column design with icons can scramble your software list. No photo, no date of birth.
  • Give each employer a size: turnover, employees, companies or client count. "Bookkeeper, £5m heating and plumbing contractor, 45 staff" tells the reader what your numbers mean.
  • Dates by month and year. If you were self-employed or ran your own bookkeeping practice, list it as one entry with the client count and industries rather than a gap.
  • Match the advert's title exactly in your header: bookkeeper, senior bookkeeper, accounts assistant, purchase ledger clerk, payroll administrator, assistant accountant. The applicant tracking system and the recruiter both search for it.

Words to mirror from the advert when they are true for you: full bookkeeping, trial balance, month-end, nominal ledger, journals, bank reconciliation, purchase ledger, sales ledger, credit control, payroll, RTI, VAT returns, Making Tax Digital, CIS, management accounts, Xero, QuickBooks Online, Sage 50, Dext, BrightPay, Excel, pivot tables, accruals, prepayments, multi-company, year-end, AAT.

Frequently asked questions

How do I write a bookkeeper CV?

Put your title and qualification under your name, then a three-line personal statement with your scope (full books or one ledger), software, one or two volumes and your month-end date. List skills with exact software names, then each employer with its size and numbered bullets: transactions, reconciliations, payroll headcount, month-end day, clean reviews. One to two pages, PDF.

What are bookkeeper job responsibilities to put on a CV?

The pieces of the cycle you own, each with a number: coding transactions, bank and credit card reconciliations, purchase and sales ledger, payroll and RTI, VAT and CIS returns, month-end, management accounts and the year-end pack for the accountants. "Responsible for all aspects of bookkeeping" tells the reader nothing.

What skills should a bookkeeper put on a CV?

Accounting tasks first (full bookkeeping, reconciliations, purchase and sales ledger, payroll, VAT, month-end), then software by exact product (Xero, QuickBooks Online, Sage 50, Dext, BrightPay), then Excel skills (pivot tables, XLOOKUP). Add soft skills only as things you did, such as catching a duplicate payment or explaining a report to an owner.

How do I write Xero or QuickBooks experience on a CV?

Name the product and version, then a volume and what you did in it: "QuickBooks Online, 4 companies, 1,800 transactions a month, class tracking by site, custom reports." Add "QuickBooks Online ProAdvisor (Core or Advanced), recertified 2026" or "Xero Advisor Certified" under qualifications. "Proficient in Xero" on its own is not enough.

How do I write a bookkeeper CV with no experience?

Get the free QuickBooks Online ProAdvisor certification or start AAT Level 2, and put it in your header. Then write bullets from any money work you have done: cashing up and banking, invoices entered, expense claims, spreadsheets, club treasurer roles, course projects and placements. Apply for accounts assistant, junior bookkeeper and accounts apprentice roles at accountancy practices and small businesses.

What is the difference between an accounts assistant CV and a bookkeeper CV?

Scope. An accounts assistant usually handles part of the cycle (purchase ledger, sales ledger, data entry) and reports to a bookkeeper or accountant; a senior bookkeeper takes the books through to trial balance. Use the title in the advert and let your bullets show how much of the cycle you handled.
